Variation notices

Draft a notice that a direction is a variation, with the direction, the clause and the dates filled in.

When Astruct flags a direction as a possible variation, it opens an issue. From the issue, Astruct can draft the variation notice for you to review.

What goes in

Astruct fills in the particulars from the project:

  • the direction, with its date and reference (for example a site instruction, RFI response or revised drawing);
  • the clause the notice is given under, from your contract, and any special condition that replaces it;
  • why the direction is considered a variation, based on the scope of work;
  • any later step the contract requires, such as when particulars or a quotation will follow;
  • the right recipients, where the contract says where notices must be sent.

Preparing it

  1. Open the issue from the project page or from Needs attention.
  2. Check the evidence and the clause.
  3. Choose to prepare the notice. It opens in Draft.

You can also ask in a chat: Draft a variation notice for SI-014.

Before you send

  • Read it against the clause. The clause text is shown on the issue.
  • Check the deadline is right for your contract. See Deadlines and “check the clause”.
  • Download the .docx, sign it and send it the way your contract requires.
  • Back on the issue, choose Mark as sent so the register stays accurate.

If new evidence arrives after a draft is prepared, the issue says the draft needs another look.
